Shared Mailboxes

Shared mailboxes are special types of mailboxes that are designed to be shared by multiple people within an organization. They do not have passwords and will appear as separate email accounts to those who are granted access within Outlook.

Recommended Use Cases

A good scenario would be the case where you need voicemail email transcriptions organized in one place, but also shared by multiple employees.


How to View Shared Mailboxes

Desktop Outlook

Once an employee has access, the shared mailbox will appear under their own inbox automatically within 60 minutes of getting the access. In some cases, restarting Outlook is necessary.

You can access shared mailboxes by logging into your own email at: https://outlook.office.com/mail/


After you have logged into your own email, please follow this procedure:


  1. Click your initials that appear within the circle, near the top-right of the email page:

  2. Type in the email address of the shared mailbox. Click the result that shows up beneath:
  3. Next, click "Open"
  4. A new browser tab will open up with the shared mailbox
  5. You can also bookmark the shared mailbox so that you can go directly to it in the future


Remember that even if you log directly into a shared mailbox, you are always logging in with your own email and password.
